Fair processing notice: Applying for a reduced membership fee

This fair processing notice applies to members applying for a reduction in their membership fee.

The data we collect about you

In addition to the data we collect about you as a professional member (see the fair processing notice for professional members) and/or a licensed member (see the fair processing notice for licensed members) we collect supporting information if you apply for a reduced fee on the following basis.

A member studying a relevant qualification in accountancy or finance

We reserve the right to request supporting documentation from you, which contains relevant personal information, in order to assess your application. This would include documentation from the awarding body or university that you’re studying with.

A member earning less than £12,570 (or local currency equivalent) per year from all your work

We reserve the right to request supporting documentation from you, which contains relevant personal information, in order to assess your application. This may include documentation from the Department for Work and Pensions (DWP), documentation from HMRC, or other documentation detailing your income.

What we do with your data and on what grounds

We can only process your personal data if we have a basis to do so which is permitted by law. This may be that you have given your consent, or it may be one of the other lawful bases for data processing. These comprise situations where it is necessary:

  • for our performance of a contract with you. We process your personal data where it’s necessary in order to fulfil a contract with you or to take steps, at your request, before entering into such a contract
  • for the substantial public interest. We process personal data as part of the documentation submitted to assess your eligibility, where this includes special category data, we process this data to protect the public against dishonesty and fraudulent claims.

Who we share your personal data with

Our third-party service providers, including providers of IT systems and storage.

We use Opayo (formerly SagePay) to process card payments. We don't store any debit or credit card information. By providing your payment details, you're agreeing to Opayo handling your details for the purpose of processing your payment for this transaction. For more details please read Opayo's privacy policy.

Where a third-party data processor is used, we ensure that they operate under contractual restrictions with regard to confidentiality and security, in addition to their obligations under data protection legislation. This means that they cannot do anything with your personal data unless we have instructed them to do it. They will not share your personal data with any organisation apart from us. They will hold it securely and retain it for the period we instruct.

Where we get your data from

Data provided as part of your application for a reduced fee comes directly from you. We do not collect data from any other source in order to assess your eligibility.

How long we keep your data

Information collected for the assessment of reduced fee eligibility will be retained for 30 days in order to allow sufficient time for our staff to review the documentation submitted and assess your eligibility. After 30 days all supporting documentation is permanently and securely purged from our systems.
